Contract Administrator - Legal

Columbia, MD - Maryland
The Legal Contracts Administrator is the primary point of contact for the Peak-Ryzex Legal Department and effectively handles a variety of internal client and external customer inquiries related to legal and compliance matters for the company.   Duties include preparation, review and completion of legal documents with the support of outside counsel as required and maintenance of a legal contracts database.    This position handles matters of significance for both customers and Peak-Ryzex with an impact on the profitability of the business due to those matters.
Responsibilities include, but are not limited to:
Contract Management
  • Handle service renewal contract negotiation and articulate changes, revisions and additions in a clear and concise manner for Field Service Operations
  • Negotiate and manage basic customer and vendor contracts that are consistent with Company’s preferred terms and conditions
  • Provide updates to sales team/business owners as contracts move through the negotiation process
  • Educate sales team/business owners to promote compliance with company policies regarding the contract process
  • Determine which documents require review by outside counsel and coordinate same
  • Work with outside counsel to maintain and revise the company’s standard templates as needed
  • Process finalized documents for signature and distribute to parties involved using EchoSign
Customer / Vendor compliance
  • Complete and negotiate customer/vendor questionnaires and certifications
  • Process requests for a certificate of insurance   
  • Manage completion of credit applications as requested for existing vendors on an annual or as needed basis or to establish new vendor partners

Commercial insurance
  • Review certificate profile for accuracy prior to annual insurance policy renewal and relay updates/changes to broker
  • Ensure compliance with insurance provisions as per contractual requirements  
  • Complete regulatory filings as needed
Conflict Minerals
  • Oversee team involved with program
  • Provide support to team in effort to secure most current version of Conflict Mineral Reporting Template (CMRT)
  • ​Retain records and provide responses to customer requests
  • Maintain records of all contracts in electronic format in SharePoint Contract Library and ensure accurate tracking of departmental metrics
  • Manage, track and report on all contracts, SOW’s, Change Orders, RFP’s and any other documents that flow into the Legal Department for review and processing
  • Provide supervision to shared support staff
  • Continuous Improvement
    • Assists in driving a continuous improvement strategy within the business to result in on going incremetnal gains in quality and efficiency.  
  • Achieves operational goals set by the Company
  • Supports corporate initiatives and decisions
  • Performs other duties/special projects as assigned.
Job Requirements
  • Paralegal certificate, JD, or Bachelor’s degree required
  • 3 – 5 years’ progressive experience in contract administration, paralegal or corporate legal environment
  • Technology industry experience strongly preferred
  • General knowledge of contract language and law  
  • Strong analytical skills and keen attention to detail
  • Exceptional writing ability and verbal communicator
  • Above average computer skills including Word, Excel and SharePoint
  • Self-motivated, independent, takes initiative and is responsive to internal and external customer business needs
  • Ability to prioritize multiple tasks, keep track of work assignment status and meet established timelines
